What does an Admin Assistant do at Hogarth? 

We are seeking a highly organized, detail-oriented, and proactive Admin Assistant to join our Project Management and Operations team. This pivotal role will provide essential administrative and project support, ensuring the smooth execution and delivery of our production projects. Based offshore, supporting our North America team, this individual will serve as a critical support system for our onshore teams, embracing the nuances of cross-continental communication and collaboration. This is an excellent opportunity for someone eager to learn the intricacies of project management, asset handling, and financial administration within a fast-paced environment. 
 

Responsibilities 

  • Administrative Support:Provide general administrative support to the Project Management and Operations team, across multiple tools and systems.  
  • Job Code Management:Create, track, manage, and facilitate the creation and closing of job codes within our internal systems, ensuring accurate detailing of finance and costs 
  • Financial Administration Support:Aid in managing financial data for projects, including job numbers, cost allocations, culminating in reports on client/business health. Also includes invoicing/Billing, PO Creation, Job close, liaising with finance team, and document creation   
  • Project Tracking & Reporting:Develop proficiency in tracking project progress and reporting through the corresponding system/tool. 
  • Project Lifecycle Support:Learn and actively assist in the end-to-end management of production projects, from initiation through to final delivery. This includes understanding project phases, financials and internal communications  
  • Flexible and Ability to scale: Based on team allocation be able to take on additional tasks based on business needs and work towards solutions to daily tasks.  
  • Cross-Cultural Communication:Actively engage in clear and effective communication with onshore teams, understanding and adapting to different time zones and cultural communication styles 

Requirements 

  • 2+ years work experience  
  • Solutions Oriented and Goal Oriented: critically evaluating tasks and processes and willing to collaborate on future improvements.   
  • Excellent time management: ability to manage multiple deadlines. 
  • Clear, professional communication with internal teams, and account leads. 
  • Strong documentation discipline and comfort working in structured systems. 
  • Exceptional Attention to Detail:A proven ability to meticulously review work, identify discrepancies, and ensure accuracy in all tasks, particularly with data, financials, and project documentation 
  • Strong Communication Skills:Excellent verbal and written communication abilities in English are essential for clear and concise interaction with team members, especially across different geographical locations. 
  • Proactive Problem Identification:An innate ability to anticipate potential issues or roadblocks, bringing them to the attention of the team with potential solutions. Strong interpersonal and proactive problem-solving skills. 
  • Autonomous Delivery (Post-Training):A strong desire and capacity to take ownership of tasks and deliver high-quality results with minimal supervision once processes and expectations are clearly understood. 
  • Global Team Support Mindset:A genuine interest in being a strong and reliable support system for our onshore teams from an offshore location. 
  • Technical Aptitude:Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is required. Familiarity with project management software (e.g.Jira,), Financial systems or a strong ability to quickly learn new systems is highly desirable. 
  • Industry Understanding: Ideally experience within a creative agency, post production shop, marketing, advertising or relatable industry experience is a plus
